Administrative Assistant
Responsibilities
This position shall be responsible for managing the administrative functions of our organization. The position will be responsible for office administration, management of day to day details, social media management and other administrative tasks, including mailings, phone answering, supply ordering and other needed tasks. Performs responsibilities using knowledge of faith-based organizations, office systems and processes, regulations, goals, and objectives. Works under the direction of the Executive Director, (assisting the entire office) to fulfill the following:
Manages office setting
Prepares mailings, communications, and other marketing pieces
Answers phones and assures communication with staff is ongoing
Orders supplies and needed items for organization
Assists in processing financial assistance forms and requests
Prepares copies for all areas of organization
Maintains volunteer records and schedules
Completes computer entry of financial assistance requests
Routinely responds to and prepares postings on social media platforms
Manages non-food donations to assure items are distributed
Assists in processing of payroll and payables
Acts as a resource to callers with knowledge of availability of programs within community
Maintain confidentiality of all records and information
Qualifications
Associate’s Degree in Office Management; or one to two years-related experiences and/or training; or equivalent combination of education and experience
Desire to work in a faith-based organization serving others
Ability to work well with other people
Ability to communicate in written and oral form
Ability to organize and work with multiple projects concurrently
Ability to work with members of various faith-based organizations
Additional Information
Part-time hourly position
Reports to: Executive Director
